Frequently Asked Questions
Everything you need to know about liaisonIQ Physician PRM.
Getting Started
What platforms is liaisonIQ available on?
liaisonIQ is mobile-first and available on the web at app.liaisoniq.app today, with native iOS and Android apps. You can start in the web app immediately — no install required.
How is liaisonIQ different from a CRM?
Generic CRMs are built for volume-based sales pipelines — leads, quotas, closing. liaisonIQ is a PRM (Physician Relationship Management) platform built from the ground up for depth-based physician relationships: clinical visit context, relationship memory, referral attribution, and territory intelligence. See our PRM vs CRM breakdown for more.
Which specialties does liaisonIQ support?
liaisonIQ adapts its language, fields, and AI guidance to 10+ healthcare verticals: physical therapy, chiropractic, dental, cardiology, ambulatory surgery centers (ASC), ophthalmology, pharma / life sciences, medical device, and general healthcare.
Licensing & Subscriptions
How does the licensing model work?
liaisonIQ licenses are managed at the Workspace level. A workspace is your central hub for data and intelligence.
- Solo workspaces: For individual physician liaisons. Billed only via In-App Purchase (IAP) through the Apple App Store or Google Play — there is no web or Stripe billing path for solo.
- Team workspaces: For multi-rep organizations. The Workspace Owner subscribes via web checkout (Stripe) at app.liaisoniq.app. That subscription covers all member seats — invited reps and View Only users do not purchase separately.
How do I create a team workspace?
Team workspaces are set up on the web at app.liaisoniq.app. Complete owner onboarding, then subscribe via Stripe to unlock invites and analytics. The iOS and Android apps show Continue on Website for team signup — use the mobile apps to join via invite and for field work after setup.
What is the difference between a Workspace and a Site?
A Workspace is the top-level entity that holds your subscription, team members, and overall data. Within a Workspace, you can add multiple Location Sites. This allows organizations to segment data by physical office, region, or clinical specialty while maintaining unified billing and reporting.
Do you offer a free trial?
Yes! We offer a 15-day free trial for all new users. No credit card is required to start your trial. You can upgrade to a full license at any time during or after the trial.
Features & AI
What AI features does liaisonIQ include?
liaisonIQ includes several AI-powered tools to support your field work:
- Visit Prep & Coach: Generates talking points, a prep checklist, and focus areas before each clinic visit based on your visit history and notes.
- liaisonIQ Assist: An AI chat assistant you can ask questions with your territory data as context — pending tasks, recent visits, clinic background.
- AI Route Planning: Suggests an optimized visit order for your day based on location, priority, and follow-up urgency.
- Liaison Coach: Scenario practice and objection handling prompts to help you prepare for tough conversations.
AI features are powered by Google Gemini. Outputs are suggestions only — always review before acting. Do not input patient names, diagnoses, or other protected health information (PHI) into AI prompts.
How do I connect liaisonIQ to other tools?
liaisonIQ offers several integration options:
- Google Sheets sync: Sync referral data to a linked Google Sheet for reporting and EMR-adjacent workflows.
- Outbound webhooks: Configure webhooks to push liaisonIQ events (visit logged, referral recorded, clinic added) to any external endpoint — including Zapier, Make.com, or your own systems.
- Data import: Bulk-import clinics and targets from a CSV to populate your territory quickly.
liaisonIQ does not offer native two-way sync with Salesforce or HubSpot. You can connect to these tools via Zapier or Make.com using the webhooks integration.
Does liaisonIQ support Speech-to-Text?
Yes. You can dictate your visit notes directly into the app using your device's microphone. AI then processes your notes to suggest follow-up tasks and expense entries, reducing administrative time after each stop. Do not dictate patient-identifiable information (PHI) — liaisonIQ is not a HIPAA-covered platform for standard plans.
What is the NPI Provider Discovery / Find Partner Practices?
liaisonIQ integrates with the national NPPES NPI Registry, letting you search for outpatient practices in your territory by name, specialty, or location and add them directly to your clinic list — without leaving the app.
What are Territory Tools?
liaisonIQ includes several territory management tools: a Territory Heatmap (visualize visit density and coverage gaps), a Territory Mapper (define and manage geographic segments), and the ability to assign sites and territories to individual reps (team plans). Territory requests can be submitted by reps and approved by owners or admins.
Privacy & Compliance
Is liaisonIQ HIPAA compliant? Do you offer a BAA?
liaisonIQ is designed for business-to-business healthcare outreach and relationship management — it is not a HIPAA-covered entity for standard plans, and we do not offer Business Associate Agreements (BAAs).
The platform does not require or store Protected Health Information (PHI). You should not enter patient names, dates of birth, diagnoses, procedure codes, or other HIPAA-defined PHI into liaisonIQ or its AI features. liaisonIQ manages relationships with practices and providers, not patient records.
We implement security controls including data encryption at rest and in transit, audit logging, and access controls appropriate for healthcare professional environments. If your use case requires a BAA, please contact us to discuss whether a custom arrangement is possible.
Can I export my data?
Yes. You own your data. You can export your clinics, visits, and referral history at any time from Profile → Export My Data. If you cancel your subscription, your data is retained for 30 days before deletion, giving you time to export.
What data does liaisonIQ send to AI providers?
AI features send only the text you explicitly input — visit notes, queries, clinic names, and territory descriptions. We do not send your full contact list or database to AI providers automatically. liaisonIQ uses Google Gemini for AI features. Do not include patient names, diagnoses, or other PHI in AI inputs. See our AI Usage Policy for full details.
Team & Workspace
What roles are available on a team workspace?
Team workspaces support four roles:
- Owner: Full workspace admin — manages members, billing, sites, territories, and targets configuration.
- Admin: Team management access — can invite members and manage roles and sites.
- Field Rep: Standard field rep — can log visits, manage targets, track referrals, and use AI features.
- View Only: Read-only seat assigned by the owner — can view team data but cannot create or edit records. On a team workspace, no separate subscription is required.
How do I invite team members?
Go to Workspace Admin → Members → Invite. You can invite members by email and assign them a role (Medical Rep or Light User). Invited members receive an email with a link to download the app and join your workspace. Team member subscriptions are covered by the owner's plan.
What is a Solo workspace vs a Team workspace?
A Solo workspace (solo_business) is for individual physician liaisons and field reps — one owner, no team members, billed via App Store or Google Play. A Team workspace supports multiple members (owner + reps + light users), is billed centrally via Stripe web checkout, and includes owner dashboards, shared clinic databases, territory management, and rep activity analytics.
Usage & Fair Use
Are there any usage limits?
liaisonIQ is designed for legitimate field rep use. Reasonable usage limits apply to AI requests and data exports (exports limited to once per hour). Automated scraping, bot traffic, or bulk API abuse is prohibited. See our Fair Usage Policy for full details.
What happens if I exceed fair usage limits?
We follow a warning → temporary throttling → suspension escalation path for abusive usage. Legitimate high-volume use cases (large enterprise teams, integrations) can be discussed with our team — contact contact@liaisoniq.app.
